How we handle client, property, and messaging information.
White Stag Remote Asset Management Privacy Policy
This policy describes how White Stag Remote Asset Management (“White Stag,” “we,” “us,” or “our”) collects, uses, protects, and shares information in connection with our website, client relationships, property and asset oversight services, and SMS messaging. It applies to information we receive from clients, prospective clients, and authorized contacts.
Effective date: September 21, 2026
Information We Collect
Depending on how you interact with White Stag, we may collect the following information when you provide it or when it is generated in the course of an agreed service:
- Contact and client information: names, phone numbers, email addresses, mailing or billing addresses, and authorized contacts.
- Property and asset information: property addresses, parcel identifiers, asset descriptions, site instructions, owner priorities, and service history.
- Inspection and service records: photographs, written observations, dates of visits, reports, communications, and records of approved follow-up or vendor coordination.
- Access and security details: keys, lockbox or gate instructions, access codes, alarm instructions, and relevant security-system information when you authorize us to receive them.
- Billing information: information needed to invoice and process payments, which may involve a payment service provider.
- Website inquiries and technical data: information submitted through website forms and information collected through website technologies, if enabled.
We ask that you provide only the information needed for your requested services and avoid sending passwords or access codes through unsecured channels.
How We Use Information
We use information to respond to inquiries; evaluate and perform requested services; prepare inspection reports and photographic documentation; communicate observed concerns; coordinate owner-authorized work; manage scheduling, billing, and business records; protect property access information; and comply with applicable legal obligations.
Where you separately opt in to SMS communications, we use the information associated with that opt-in only for the messaging programs you selected, as described in the Messaging Privacy Policy below.
Property Photographs, Reports & Confidentiality
Our work may involve photographs of private residences, interiors, buildings, equipment, and site conditions. We use these materials to document services, communicate with authorized client contacts, and maintain service records.
We do not use identifiable client property photographs, inspection reports, or nonpublic property information in public marketing without the client's authorization, except where disclosure is required or permitted by law. A client may authorize us to provide specified reports or photographs to an insurer, broker, contractor, or other designated recipient.
Property Access & Security Information
We may receive keys, access codes, gate or lockbox instructions, alarm information, and authorized-contact details solely to perform approved services. We limit access to people who need the information for the authorized work and do not share it for advertising or marketing.
When services end, we address the return, deactivation, or disposal of access information according to the applicable service agreement and operational requirements. Owners remain responsible for changing codes and revoking access when appropriate.
When Information May Be Shared
We may disclose the minimum information reasonably necessary to provide requested services to personnel and service providers supporting our operations; to contractors or vendors when the client authorizes coordination; to a client-designated recipient; or when required by law, legal process, or to protect rights and safety.
Service providers may include website hosting, report storage, communications, invoicing, and payment-processing providers. Their involvement and the information they process depend on the systems White Stag actually uses.
We do not share customer data with third parties for their promotional or marketing purposes. Mobile opt-in information and SMS consent are never shared with anyone for any purpose; the sharing described elsewhere in this policy excludes mobile opt-in data.
Payments & Billing
We may collect billing contact details and transaction records to invoice and administer services. Payment details may be handled by a payment processor or through a separate authorization process. The handling and storage of payment-card information depend on the payment method selected and our actual payment procedures. Please contact us if you would like information about the payment method used for your account.
Website Forms, Cookies & Third-Party Services
If you contact us through a website form, we use the information you submit to respond and administer your request. Our website platform and any enabled analytics, embedded content, or other third-party services may collect technical information or use cookies. The specific tools and settings can change; consult the website's cookie controls, when available, and your browser settings for available choices.
Links to third-party websites are governed by those providers' privacy practices, not this policy.
Retention & Information Security
We retain personal information, inspection reports, photographs, and service records for as long as reasonably necessary to provide services, maintain business records, resolve disputes, and meet applicable legal requirements. Retention periods may differ by record type and contractual or legal obligations.
We use reasonable administrative, technical, and physical safeguards designed to protect personal and property-related information. No method of electronic storage or transmission can be guaranteed completely secure. We encourage clients to contact us promptly if they believe property-access details or account information have been compromised.
Your Privacy Requests
You may contact us to request access to, correction of, or deletion of information associated with you. We will review requests in light of applicable law, identity verification, contractual obligations, and records we are required or permitted to retain. You can also opt out of SMS messages as described below.
Policy Updates & Contact
We may update this policy to reflect changes in services, systems, or applicable requirements. The current version will be posted on this page with its effective date.
