TOPIC 01
Property Oversight Basics
What is property oversight?
Scheduled visits to observe accessible conditions, document visible changes, take photographs, prepare a written report, and follow up with the owner when concerns are noted. It is designed for owners who cannot regularly be onsite.
Is this the same as traditional property management?
No. White Stag does not manage tenants, collect rent, or administer leases. Our focus is local property and asset oversight, condition documentation, reporting, and owner support.
Do all plans include photos and a written report?
Yes. Scout, Sentinel, and Guardian include photo documentation, a full written report, and owner follow-up for noted concerns. Higher service levels cover more areas; they do not receive a different reporting standard.
What is the main difference between the three plans?
Scout focuses on exterior-only oversight. Sentinel adds a detailed ground-level exterior review and basic authorized interior walk-through. Guardian adds a more detailed interior review and basic serviceability checks. See the full comparison on our Service Plans page.

One-Time Baseline Assessments
What is a Baseline Assessment?
A one-time property assessment using the Scout, Sentinel, or Guardian service level. It includes the selected scope, photographs, a written report, and owner follow-up for noted concerns.
How is a Baseline Assessment different from recurring oversight?
A Baseline Assessment documents conditions at one point in time. Recurring oversight provides scheduled visits that help document changes and developing concerns over time.
When might a Baseline Assessment be useful?
For a one-time review, an annual condition snapshot, a sight-unseen property evaluation, a check before or after closing, or an initial assessment before selecting recurring oversight.
Why is a Baseline Assessment priced differently from a recurring visit?
A Baseline Assessment is a standalone visit and report without the route efficiency, scheduling continuity, or ongoing commitment associated with recurring service.
TOPIC 03
Scout, Sentinel & Guardian
What does Scout include?
Foundational exterior oversight: access roads, driveways, gates, visible site conditions, obvious exterior changes or concerns, and a basic exterior once-over of structures. Interior access is an Add-On.
What does Sentinel include?
Everything in Scout, plus a more detailed ground-level exterior review and a basic interior visual walk-through when authorized access is available. It includes visual observations of accessible utility or mechanical areas.
What does Guardian include?
Everything in Scout and Sentinel, plus detailed interior observations and basic serviceability checks of applicable common fixtures and systems, such as faucets, lights, fans, and accessible windows and doors. Requested contractor or project visibility may be included during scheduled visits.
Can recurring plans be customized?
Yes. Visit frequency, access, property characteristics, structures, owner priorities, and Add-On services can affect the agreed scope and price. Common recurring frequencies include quarterly, monthly, twice monthly, and weekly.

Interior Access & Checks
How do you access the interior of a property?
Interior services require owner-authorized access through a lockbox, smart lock, access code, key-holder, or another approved method. If access is unavailable, we document the limitation and may complete the accessible exterior portion.
What is a basic interior visual walk-through?
A non-invasive observation of accessible rooms for obvious damage, leaks, intrusion, odors, cracks, pest indicators, and visible changes. Routine operation of household systems is not included unless specified in the selected plan or added separately.
What is a detailed interior serviceability check?
A basic interior walk-through plus agreed basic operation checks of applicable fixtures and systems, such as HVAC operation, faucets, sinks, showers, tubs, lights, fans, windows, and doors. It is not a comprehensive building or licensed trade inspection.

When Concerns Are Found
What happens if you find a problem?
We document the visible concern, include it in the report, and follow up when attention is needed. The owner can decide whether to monitor, request another visit, contact a specialist, or authorize separate coordination.
Do you make repairs?
Core services focus on oversight and reporting. Minor support, repair follow-up, vendor coordination, or owner-representative services may be available by request and separately scoped.
Can you meet contractors or vendors at the property?
Potentially, depending on location, schedule, access, and agreed scope. Requested contractor visibility may be included during scheduled Guardian visits; separate meetings and coordination are generally Add-On services.

Add-On Services
What are Add-On services?
Additional services outside the selected standard plan. Examples include interior access added to Scout, extra visits, contractor meetings, vendor coordination, repair follow-up, additional structures, and special reporting requests. Availability and fees depend on the agreed scope.
Is contractor or project visibility included?
Requested visibility during a scheduled Guardian visit may be included. Separate contractor meetings, coordination, repair management, or owner-representative work may require an Add-On service.

Frequency, Pricing & Service Area
What visit frequencies are available?
Recurring plans may be scheduled quarterly, monthly, twice monthly, or weekly, subject to the property, service scope, and availability.
How is pricing determined?
Pricing considers the selected service level, one-time versus recurring service, frequency, location, acreage or property size, number of structures, complexity, interior access, travel conditions, and Add-On requests.
What areas do you serve?
White Stag serves North Idaho and surrounding areas of Montana and Eastern Washington. Availability and travel charges depend on location, access, and the agreed service scope.

Commercial & Weather Services
Do commercial properties use Scout, Sentinel, and Guardian?
Not necessarily. Commercial inspections and recurring programs are individually designed around the property, equipment, vehicles, remote sites, access needs, and reporting requirements. One-time and recurring options are available.
Are weather and event inspections recurring plans?
No. Weather and event inspections are individually requested, one-time services. Options include pre-event readiness and winter property checks, post-event condition inspections, and separately requested follow-up inspections.
Can winter property checks help with insurance requirements?
Documented checks may support owner-provided winter or vacancy-related requirements. Requirements differ by policy and insurer; confirm the required frequency and scope with your insurance provider. White Stag cannot guarantee policy compliance or coverage.
Do you provide emergency response after a storm?
No. White Stag does not provide emergency response. We do not enter unsafe areas or bypass official closures. Visits depend on safe access, prevailing conditions, scheduling, and availability. If access is restricted, we communicate that limitation and can discuss a later visit. Direct emergencies to the appropriate emergency services.
TOPIC 09
Service Scope & Expectations
Is oversight the same as a home inspection?
No. Standard oversight is based on agreed visual observations, condition documentation, and applicable basic serviceability checks. It does not replace a comprehensive residential building inspection or specialist assessment.
What services does White Stag not replace?
Emergency response, disaster remediation, insurance adjusting or coverage determinations, law enforcement, security guarantees, licensed trade inspections, engineering or structural certification, surveying or boundary determinations, and traditional rental or tenant management. Any separate specialist service requires its own agreed scope.
